Turn a scattered mental to-do list into a realistic, organised plan for the week. You will get everything out of your head, sort it by what matters, and end up with a schedule that fits the time you actually have.

By the end of this, you will have a realistic, organised plan for the week ahead, built from the jumble of tasks in your head and shaped to fit the time you actually have.

What you will need

  • Any AI chat tool: Claude, ChatGPT, or Gemini all work well.
  • A rough sense of what is on your plate this week, at work and at home.
  • Any fixed commitments already in your diary.
  • About 15 to 20 minutes.

Step 1: Get everything out of your head

Start by telling the AI everything you need to do this week, in any order. Getting it all down in one place is a relief in itself, and it gives the AI something to work with.

Help me plan my week. Here's everything on my mind, in no particular order:

- Work: [tasks, meetings, deadlines]
- Home and life: [errands, chores, appointments]
- People: [anyone I need to call, see, or help]
- For me: [exercise, rest, anything I keep putting off]

Please don't build the plan yet. First, ask me anything that would help you plan
it well.

What to expect: the AI will ask a few questions, perhaps about deadlines or how much time each task takes. Answering them makes the plan far more realistic.

If it does not work: if it builds a plan straight away, reply with “Please hold off and ask me your questions first.”

Step 2: Sort by what actually matters

A long list can feel overwhelming until you see what is urgent and what can wait. Ask the AI to help you sort it before you schedule anything.

Sort my tasks into three groups: must happen this week, would be good to do, and
can wait if I run out of time. If two things clash, tell me which you'd prioritise
and why.

What to expect: your list grouped by priority, which makes the week feel far more manageable. Move anything you disagree with, since you know your life best.

If it does not work: if everything lands in “must happen,” reply with “Be stricter: no more than five things can be must-do this week.”

Step 3: Turn it into a realistic schedule

Now ask the AI to lay your tasks across the days, working around your fixed commitments. The key word is realistic: a plan you can follow beats a perfect one you abandon by Tuesday.

Now build me a day-by-day plan for the week. Here are my fixed commitments:
[list them with days and times]. Spread the rest sensibly around these, don't
overload any single day, and leave some breathing room for things that overrun.
Show it as a simple table.

What to expect: a clear, day-by-day schedule with room to breathe. If a day looks too full, ask the AI to move something to a quieter one.

If it does not work: if the plan feels too rigid, reply with “Give me a lighter version with fewer fixed times and more flexibility.”

Wrapping up

You now have a plan that reflects your real priorities and your real time, rather than a wish list. Check in with it partway through the week and adjust as things change, because a plan is a helpful guide, not a rulebook. If some tasks slip, that is normal, move them on and keep going.

A tip to make this a habit: save your plan and, at the end of the week, tell the AI what got done and what did not. It can help you notice patterns, such as which day you always overload, and plan next week more kindly.
