How to plan a special event with AI
Turn a vague idea for a party or gathering into a clear, workable plan with AI as your planning partner. You will shape it around your guests, your budget, and your time, and end up with a checklist and timeline you can actually follow.
By the end of this, you will have a plan for your party, celebration, or gathering: a set of ideas you like, a budget that adds up, and a checklist and timeline that get you to the day without a last-minute panic.
What you will need
- Any AI chat tool: Claude, ChatGPT, or Gemini all work well.
- The basics of your event: the occasion, roughly how many guests, and when.
- A rough budget, even if it is only a ballpark figure.
- About 25 to 35 minutes.
Step 1: Tell the AI about the event
Start by giving the AI the shape of your event. The more it knows about the occasion, the guests, and your budget, the more useful and realistic its ideas will be.
Help me plan an event. Here are the details:
- The occasion: [birthday, anniversary, retirement, gathering]
- Guests: [roughly how many, and who they are]
- When and where: [date, time, and rough location or venue]
- Budget: [a rough figure]
- The feeling I'm after: [relaxed, lively, formal, cosy]
Please don't build the whole plan yet. First, ask me anything that would help you
plan it well.
What to expect: the AI will ask a few questions, perhaps about dietary needs, the space, or what matters most to you. Answering them makes everything that follows fit your event.
If it does not work: if it dives into a full plan straight away, reply with “Please hold off and ask me your questions first.”
Step 2: Gather ideas
Now open things up. Ask the AI to brainstorm options for the parts of the event you have not settled yet, from themes to food to activities.
Suggest some ideas for this event: a few possible themes, food and drink options
that suit the budget, and a couple of activities or moments that would make it
memorable. Give me a range, from simple to more ambitious.
What to expect: a spread of ideas at different levels of effort and cost. Pick the ones you like and set the rest aside, you do not need to use them all.
If it does not work: if the ideas feel generic, reply with “Make these fit my guests and occasion specifically, and lean towards things I could realistically do myself.”
Step 3: Check it against the budget
Ideas are easy, keeping them affordable is the hard part. Ask the AI to turn your chosen ideas into a rough budget so you can see where the money goes before you commit.
Here are the ideas I've chosen: [list them]. Break these into a rough budget for
[number] guests, with an estimated cost for each part and a running total. If it
goes over [your figure], suggest where I could trim without losing the feeling I'm
after.
What to expect: a rough cost breakdown with a total, and suggestions for where to cut if needed. Treat the figures as estimates and check real prices before you rely on them.
If it does not work: if the total feels unrealistic, reply with “These prices seem off for the UK. Give me sensible ranges rather than exact figures.”
Step 4: Build a checklist and timeline
Finally, turn the plan into actions with dates attached. Knowing what to do and when is what keeps the week before the event calm.
Turn this plan into a checklist and a timeline. Work backwards from the event
date: what to do a month before, two weeks before, the week of, and on the day
itself. Show it as a simple list grouped by when.
What to expect: a clear, dated checklist that spreads the work out rather than piling it onto the final day. Adjust anything that does not fit your schedule.
Wrapping up
You now have a plan built around your guests, your budget, and your time, with a checklist to keep you on track. Costs and availability change, so confirm the key bookings and prices yourself before the day. As things shift, come back to the AI and ask it to update the plan around whatever has changed.
A tip to save your sanity: decide early which two or three things matter most to you, and let the AI keep the rest simple. A guest remembers how an event felt far more than whether every detail was perfect.
